Driving Data Up, Driving Data Down: One OPO’s Experience Utilizing Dashboards, Scorecards and Reports to Increase Organ and Tissue Donation

Aim: To create a data driven culture through the development and use of automated reporting tools to increase organ and tissue donation.

Methods: Between June 2007 and June 2013, a set of customized automated reporting tools including five dashboards with over 50 drill-down reports, sorting and filtering functions and six cascading scorecards were developed to provide all clinical staff with access to data to monitor and evaluate performance relative to established goals and peer performance. Departmental and individual goals related to critical metrics in the referral, evaluation, consent and recovery of potential organ and tissue donors are established and re-evaluated by OPO leadership through an ongoing strategic planning process. All clinical staff have close to real-time access to relevant performance data and receive feedback related to their performance at least on a monthly basis through individualized scorecards. Managers utilize dashboards on a daily basis to make decisions and monitor and discuss performance. Overall procurement between July 2006 and June 2007 (pre-implementation) was compared to overall procurement between July 2012 and June 2013 (post-implementation).           

Results: The number of organ donors recovered increased by 21% from 366 to 444, the number of organs transplanted increased by 17% from 970 to 1134, the number of musculoskeletal donors recovered increased by 95% from 628 to 1225 and the number of cornea donors recovered increased by 86% from 1271 to 2360.

Conclusion: Reporting tools providing employees throughout the OPO timely access to relevant performance data is critical to meeting goals and establishing a data-driven culture of accountability.
